Send No Mail with an active date range

We have Alternate Address with a date range - Bravo. Now, Would it be possible to attach a date range to "Send No Mail" -- For families who do not want mail sent to them at all while they are away. Keeping track of return dates can get very cumbersome.

Hi Paula,

Fam At Alt is a calculated field [Yes, No]. It is Yes if the Report Date is between the date left and date return for the alternate address. Then you don't need to do anything fancy by manipulating dates for each report.

You could easily combine this with a keyword to eliminate those families.

Create a new keyword Never Send Mail While Away and add it to the families that want no mail when gone.

Then use an additional selection with the report where you Exclude records where All of the following are true
1. Fam.At Alt is equal to Yes and
2. Fam Keyword.Description is ever equal to Never Send Mail While Away

Thanks Paul - I know there is a way to get what the client needs but they want EASY ways to not send them mail to either address while they are gone. It seems to me that having a date range for "send no mail" would be much more user friendly. Users would like something they don't have to change when the family returns. That list can get rather lengthy based on where the church is located.

Paula, please re-read my suggestion.  It uses the date range already in place and doesn't require them to modify anything further when the family leaves or returns.

I had someone request on the 'alternate address' screen to have both 'send no mail' and 'no envelopes'. While they are gone, if something is sent, the church pays postage. When it gets sent back they pay postage again on the same piece of mail. So they also have to remember to change the Envelope User check box. Having the Fam.At.Alt = yes selection in play at all times could get confusing to the user. Many times they have other additional selections already in place. Just trying to give more credence to the request. Large parishes have many snowbirds. This is one more step of maintaining keywords also.

 I have a client that just sent me the following request.  I think it would be part of this thread.

I would like to request, as a user of your PDS Church Office software, that you would offer a date range for the “Send No Mail” box located on the Families Primary Information Screen. 

We have parishioners who spend months at a time away from home and they do not want their mail sent to their alternative addressNOR do they want their mail at home to pile up while they are away. If you could tie a date range to the Send No Mail box for their primary address, this would solve the problem.

I realize that you have a date range on the alternative address which is good if the parishioner wants their mail sent to them while they are away however not everyone wants that option. Some don’t want us to send them any mail while they are away temporarily. 

I would really appreciate it if you could look into resolving this problem!
